The terms that apply when you book, enquire, or work with Elvare Concierge.
Elvare Concierge provides luxury travel and concierge arrangement services, curating and coordinating aviation, accommodation, yacht charters, chauffeur services, event access, dining and lifestyle management on behalf of clients. In performing these services, Elvare may source, facilitate or arrange services that are ultimately supplied by independent third-party providers.
By requesting a quote, confirming a booking, or making payment for any Elvare Concierge service, the client agrees to be bound by these Terms, together with any applicable supplier terms and conditions relevant to the specific service booked.
Many of the travel and lifestyle services arranged through Elvare are ultimately operated and delivered by third-party suppliers, including but not limited to:
Where a booking involves such a supplier, that supplier's own terms and conditions will also apply, and Elvare will act as the arranging party rather than the operator of the underlying service.
Elvare primarily arranges Business and First Class travel, including selected discounted fare opportunities. In relation to flight bookings:
Customers must supply passenger names that accurately match the relevant passport or travel document. The customer is responsible for checking the spelling and accuracy of all passenger details before a booking is confirmed. Once a booking has been made, name corrections may incur fees charged by the relevant supplier, and in some cases a correction may not be possible at all.
The customer is solely responsible for ensuring that they, and every traveller on their booking, hold:
Elvare may, where appropriate, offer general assistance in relation to these requirements, but does not provide legal or immigration advice. Customers must independently verify official entry requirements with the relevant embassy, consulate or government authority before travel.
Once a flight booking has been confirmed, the customer is responsible for checking in, obtaining boarding passes, arriving at the airport within the airline's recommended timeframe, attending the correct terminal, and completing security, immigration and boarding procedures. Customers should also monitor gate and schedule information throughout their journey.
To the fullest extent permitted by applicable law, Elvare is not responsible for a missed flight caused by customer lateness, failure to check in, incorrect or insufficient travel documents, missing visas, failure to attend the correct airport, terminal or gate, customer conduct, or other circumstances within the traveller's control.
Airline schedules are outside Elvare's control. Airlines may change departure times, aircraft, routing or cabin at their discretion. Customers should monitor communications from the operating airline as well as the airline's own Manage My Booking service for the latest information.
Statutory airline passenger rights may apply to delays, cancellations and denied boarding, and where appropriate, claims for compensation or refunds may need to be pursued directly with the operating airline. Elvare will reasonably assist customers where this forms part of the service purchased, but cannot guarantee the operational performance of any airline. Nothing in these Terms is intended to waive or reduce any statutory airline passenger rights available to the customer.
Where flights are issued as separate bookings rather than a single connected itinerary, the connection between them is not necessarily protected by the airlines involved. Elvare will clearly disclose where a booking consists of separate tickets. In these circumstances, the customer may need to collect and re-check baggage, pass through immigration and security again, transfer between terminals or airports, and meet onward check-in deadlines independently. Customers should allow appropriate connection time when booking separate tickets.
Baggage allowances are determined by the relevant airline, supplier or fare booked, and additional baggage may incur charges. Customers are responsible for checking prohibited and restricted items with the relevant supplier before travel.
Unless expressly stated otherwise in writing before booking, Elvare's specially sourced and discounted flight bookings are treated as non-refundable once confirmed.
Conditions vary by supplier and fare type. Some bookings may permit changes for a fee, and cancellation or change fees may apply depending on the supplier's rules. Unused services may not be refundable. Any refund that is permitted remains subject to the relevant supplier's terms. Elvare may retain legitimately earned service or booking fees where lawful to do so. Nothing in this section affects any statutory rights the customer may hold.
Private aviation bookings are subject to aircraft and operator availability, and aircraft substitutions may occur. Operators may require a full passenger manifest and may apply luggage restrictions. Delays may be caused by weather, airport slot restrictions or other operational factors outside Elvare's control. Passengers must comply with the operator's requirements at all times, and late arrival of a passenger may result in additional fees or a missed departure. The relevant operator's own cancellation terms will apply to each booking.
Yacht charters are subject to the terms of the relevant operator's charter contract. Weather and sea conditions may affect an itinerary, and the captain retains full operational and safety authority over the vessel at all times, including the right to alter or curtail an itinerary for safety reasons. Passenger limits and prohibited conduct rules set by the operator apply. Deposits, damage deposits and security deposits may be required, and cancellation terms are set by the relevant operator.
Customers must provide an accurate pickup location and time. Waiting-time charges may apply where a customer is not ready at the agreed time. Delays caused by traffic, road closures or other circumstances outside the reasonable control of the chauffeur or Elvare may occur, and customers should build sufficient journey time into their plans. Except where required by law, Elvare does not accept liability for a missed flight or other appointment caused by insufficient travel time being selected by the customer.
Hotel and villa bookings are subject to the relevant property's check-in and check-out rules, deposit requirements, incidental charges, damage charges, local taxes, age restrictions and occupancy rules. Cancellation policies are set by the individual supplier and will be communicated at the time of booking where available.
Tickets and experience bookings are subject to the relevant organiser's conditions, including in relation to date, time and venue changes, resale restrictions, identification requirements, ticket transfer rules, and event cancellation or rescheduling. Prohibited use of tickets, as defined by the organiser, may result in entry being refused.
Elvare may refuse or terminate the provision of any service in cases of abuse, fraud, unlawful activity, harassment, payment fraud, or misuse of a supplier's services.
Elvare will confirm the required payment method for each booking. Payment must be made in cleared funds. Where foreign exchange applies, the customer is responsible for any related card or bank charges, and for differences arising from a supplier operating in a different currency. A booking is only confirmed once the required payment has been received in full.
Elvare strongly recommends that customers take out comprehensive travel insurance from the time of booking, covering cancellation, medical expenses, baggage, missed departure, disruption, personal liability, and supplier failure where appropriate. Elvare does not provide travel insurance unless expressly stated otherwise in writing.
Suppliers engaged to deliver a booking are responsible for the services they operate. Except where applicable law imposes responsibility on Elvare, Elvare is not responsible for the acts or omissions of third-party suppliers that are outside Elvare's control.
Elvare and its suppliers are not responsible for failure or delay in performing any obligation caused by events outside reasonable control, including severe weather, natural disasters, war, terrorism, strikes, air traffic control restrictions, epidemics or pandemics, government restrictions, airport closures, cyber incidents, civil unrest, or other similar extraordinary circumstances. This section does not remove any statutory rights the customer may hold in these circumstances.
Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence where such exclusion is prohibited, for fraud or fraudulent misrepresentation, or for any statutory consumer protections that apply to the booking.
Subject to the above, and to the fullest extent permitted by law, Elvare's liability for indirect or consequential losses is limited, and Elvare's role in many bookings is as an arranging party rather than the operator of the underlying service described in section 3.
If a customer wishes to raise a complaint, they should contact Elvare using the details in section 26 as soon as reasonably possible, providing their booking details and a clear description of the issue. Elvare will acknowledge complaints and work to resolve them promptly, escalating to the relevant supplier where the complaint concerns a service that supplier delivered.
These Terms are governed by the law of England and Wales. Nothing in this section removes any mandatory consumer protections that apply to the customer under the law of their country of residence, where applicable.
