How we collect, use and safeguard the personal information you share with us.
This policy is issued by Elvare Concierge, a private concierge and luxury travel house. Registered company entity: [PLACEHOLDER - Ruben/Elmo to confirm], including the correct legal entity name, company number and registered address.
Depending on the service requested, Elvare may collect:
Elvare does not store full payment card numbers unless this is expressly confirmed to be the case for a specific payment method in use.
Elvare may process personal information to respond to enquiries, prepare quotes, make bookings, manage reservations, contact customers, fulfil contractual obligations, provide customer support, prevent fraud, meet legal obligations, maintain accounting records, improve services, and send marketing communications where permitted.
Elvare relies on the following lawful bases, as appropriate to the processing activity: performance of a contract with the customer, legitimate interests in operating and improving the business, compliance with a legal obligation, and consent, where consent is the appropriate basis, such as for certain marketing communications. Consent is not used where another lawful basis is more appropriate.
Where necessary to arrange a requested service, Elvare may share relevant personal information with airlines, airports where applicable, private jet operators, yacht operators, hotels, villa providers, chauffeur companies, event and experience providers, restaurants, booking technology providers, payment processors, professional advisers, IT and cloud providers, and regulatory or law enforcement authorities where legally required. Only information reasonably necessary for the requested service is shared with any given recipient.
Some suppliers that receive customer information to deliver a booking are independent organisations, and they process that information under their own privacy policies and legal obligations. Once information has been lawfully shared with an independent supplier to fulfil a requested booking, Elvare does not control every aspect of that supplier's own processing. Elvare aims to work with reputable providers and to share only the information reasonably necessary for the service requested.
Because travel suppliers may be located outside the United Kingdom, customer information may be transferred internationally in order to arrange a requested service. Where applicable, Elvare will handle such transfers in accordance with UK data protection requirements.
Passport and travel document information is treated as sensitive operational information. It is collected only where necessary for a booking, shared with the relevant supplier only where required, protected with appropriate safeguards, and retained only for as long as reasonably required for operational or legal purposes.
Payment processing is handled in line with Elvare's current booking and payment arrangements. Third-party payment processor: [PLACEHOLDER - Ruben/Elmo to confirm], together with a description of how payment data flows between Elvare, the processor and any relevant supplier.
Personal information is retained only for as long as reasonably required for booking administration, customer service, accounting and tax purposes, legal claims, and regulatory compliance. Specific retention periods: [PLACEHOLDER - Ruben/Elmo to confirm].
Elvare takes appropriate technical and organisational measures to protect personal information against unauthorised access, loss or misuse. No method of storage or transmission is completely secure, and Elvare cannot guarantee absolute security of information provided.
Under UK data protection law, customers have the right to request access to their personal information, correction of inaccurate information, deletion where applicable, restriction of processing, objection to certain processing, and portability of their data where applicable. Where processing is based on consent, customers may withdraw that consent at any time. Customers also have the right to complain to the Information Commissioner's Office (ICO) if they believe their data has been mishandled.
Where a cookie banner or cookie consent mechanism is implemented on the Elvare website, it will govern the specific cookies used and the choices available to visitors. This section will be updated to reflect the exact cookie implementation in place at the time of publication.
Where a customer has opted in to receive marketing communications, they may opt out at any time by contacting Elvare using the details in section 17, or by using the unsubscribe option provided in any marketing communication received.
Elvare's services are not directed at children independently. Where a family booking includes a child as a passenger, relevant data for that child may be processed where it has been supplied by a parent or legal guardian in connection with the booking.
Elvare may update this policy from time to time to reflect changes in its practices or in applicable law. The "Last updated" date at the top of this page shows when the policy was last revised.
